DHL: Shipment tracking with your own DHL contract

How to activate shipment tracking for DHL shipments via your own contracts.

In this article you will learn how to create a DHL GKP user for shipment tracking and what you need to pay attention to.

As of June 30, 2025, DHL has deactivated shipment tracking via zt-ID (zt-ID & password), and it can no longer be used.

To continue tracking your shipments via Shipcloud as usual, you need to set up a system user in your DHL Business Customer Portal.


Setting up a new system user in you DHL Business Customer Portal

Log in to your DHL Business Customer Portal and open the drop-down menu at the top right by clicking on your username.

In the menu, select Manage users, then click Create new User at the bottom right.

A form will then open for creating a new system user.

Please fill in all fields marked with an asterisk (*).

In the Usertype field, select System user.
Under the Roles section, click on Track parcel & goods, then click the > arrow.

This will grant the user the necessary rights to track your shipments.

Next, click the Next button to proceed to the section where you can define additional permissions for this user.

If this is your first system user with the Track parcel & goods permission, you will first need to specify exactly which Track parcel & goods permissions this user should receive.

Here, you can individually configure which permissions should be granted to this system user.

In the next step, you define the level of authorization for this user.

It is important at this stage to either assign all available billing numbers to the new user or at least the billing number you use with Shipcloud.


Good to know: If the billing number is not added, shipment tracking will unfortunately not work.

Once you have completed all the necessary settings, click the Create user button.

You will then be taken to the final step, where you activate the new system user by assigning a username.

Click Continue to set a password for this system user.

Please make sure to follow the username and password creation requirements!

To complete the process successfully, click Activate user at the end.


Saving the new system user in your Shipcloud account

To ensure smooth shipment tracking, it is essential to save the credentials of the previously created system user in your Shipcloud account.

Based on the time of your registration with Shipcloud, we will provide you with further instructions below on how to enter the new system user details in your Shipcloud account.



Registered before August 2, 2022

To do this, please log in to your Shipcloud account.
Click on the "Set up your shipping process" button, then navigate to the left-hand menu and go to Settings >> Carriers.

In the Tracking Username field, enter the username of the newly created system user.
In the Tracking Password field, enter the password you set for this user.

Then, scroll down and click OK to apply the changes.


Registered after August 2, 2022

To do this, please log in to your Shipcloud account.
Click on the "Set up your shipping process" button, then in the left-hand menu select Carrier.

Next, choose your DHL contract.

Under the Tracking tab, enter the username of the newly created system user in the Tracking Username field.
In the Password field, enter the password you set for this system user.

Then click Update to save the changes.
