How does billing work with Shipcloud?

In this article, you will learn more about your invoices as well as the surcharges billed by the carriers.

How and when will I receive my invoice?

Shipcloud sends out two invoicing emails each month.

The first email contains your invoice as a PDF attachment. This document lists the billed amounts, which include your monthly subscription fee, transaction fees, and surcharges from the carriers.

The second email includes two files in XLS and CSV format. The first file provides details on the transaction fees, shipping label costs, and the pre-calculated surcharges at the shipment level. The second file contains shipment-level information on any post-calculations or additional charges.


How is the invoice being billed?

The entire invoice is settled monthly via the payment method you selected.

The billing date is always the 1st day of each calendar month. In your first paid subscription month, the invoice is generated immediately after registration or after the end of the free trial period. Your subscription fee will be charged on a pro-rata basis for the remaining days of that first calendar month.

Transaction fees and label costs are billed usually on the 1st day of the following calendar month, using your chosen payment method.

Therefore, it is necessary to provide your payment details before starting your subscription.

For shipments sent using your own shipping carrier contracts, only the subscription and transaction fees for using our services—according to your selected subscription plan—are billed by Shipcloud. In these case, you will continue to receive the invoice for shipping labels directly from your carrier.


Where can I find my invoice in my Shipcloud account?

You can access your monthly invoice in your Shipcloud account at any time.

Step-by-step instructions:

  1. Log in to your Shipcloud account.

  2. Click on the Button "Set up your shipping processes"

  3. Click on your account email address in the top right corner and select “Billing” from the dropdown menu.

  4. Scroll down to the section “Invoices and Credit Notes.”
    Here, you will find a total of three invoice documents.

In the “PDF Download” column, you can view or download your invoice document in PDF format. It contains a summary of your monthly subscription fee and all created shipping labels, including all pre-calculated surcharges per carrier and service.

Billed Shipments (2)


In the “Billed Shipments” column, you’ll find a detailed overview of your billed shipments/shipping labels, including all pre-calculated carrier surcharges per tracking number. This data is available in CSV or XLS format.

Reference Number

The reference number can be passed to Shipcloud by you during booking.

Shipment Number

Shipcloud shipment ID.

Tracking ID

Tracking number from the shipping carrier.

Submitted On

Creation/booking date of the shipping label.

Carrier

The shipping provider selected by you.

Service

The shipping method selected by you.

Shipping Fee

The net price of the shipping label plus the applicable VAT of 19%.

Transaction Fee

This fee is charged by Shipcloud for processing a shipment transaction.

Sender: Country

The country from which the shipment was sent.

Recipient: Country

The destination/delivery country.

Weight (in kg)

Total package weight (including packaging, contents, and filler material).

Package Type

The type of package.

Package Size

The volume of the package, calculated as: length * width * height.

Volumetric Weight

The space a shipment occupies in the freight area during transport. The calculation depends on the carrier and transport type. More information can be found [here].

Length (in cm)

The package length you specified.

Width (in cm)

The package width you specified.

Height (in cm)

The package height you specified.

Pre-calculated Surcharge

Type of carrier surcharge that is applied immediately during booking due to certain parameters.

Surcharge Amount

The amount of the net pre-calculated carrier surcharge plus the applicable VAT of 19%.

In the “Shipping surcharges” column, you will find a detailed overview of the recalculated carrier surcharges that apply to your already billed shipments.

Carrier Tracking ID

The tracking number assigned by the shipping carrier.

Type of Post-calculation

Description of the type of post-calculation.

Post-calculation Amount

The amount charged by the shipping carrier as a result of the post-calculation.

Shipcloud Shipment ID

A unique combination of numbers and letters assigned by Shipcloud to identify your shipment.

Billable Weight

If a different weight than originally stated was used, this shows the actual weight billed.

Additional Carrier Information

Additional information provided by the shipping carrier.

Dimensions

These are the specified dimensions.


What are surcharges and when do they apply?

A surcharge is an additional fee charged by the shipping carrier on top of the regular shipping costs.

There are two types of carrier surcharges: pre-calculated and post-calculated surcharges.

Pre-calculated surcharges are additional fees that are estimated and applied in advance. These fees are already included in our shipping rates.

Post-calculated surcharges are additional fees that may be charged by a shipping carrier after a shipment has been completed.
